A clear schedule for one person or a team
Plan work for 1–50 employees without registration. Each person has a name, color and scheduling rule: 2 on/2 off, 3 on/3 off, 24 hours on/3 days off, day–night–two days off, weekdays or a custom sequence. View the schedule by month, year or table. Individual leave days and replacements do not shift the whole cycle. Dates from 1900 to 2100 are supported, with up to 366 days in a single operation or export.
How to build a schedule
- Name the calendar, choose a time zone and add employees with distinct colors.
- For each employee, choose a pattern, the first cycle date, and shift start and end times.
- Mark leave and replacements on individual days or apply a change to a date range. Undo an action when needed.
- Check the month, year overview, totals and overlap warnings. Select the employees and period to share.
- Download the schedule, create a fixed snapshot or explicitly publish a read-only version.
A cycle continues across month boundaries
The anchor date is the date of the first item in the sequence, not simply the first working day in the displayed month. A 2-on/2-off cycle repeats two workdays and two days off regardless of month boundaries. A weekly schedule follows selected weekdays instead of cycle length. Manual mode is useful for assignments that do not repeat.
When working arrangements change, apply a new rule from the required date to keep the earlier schedule intact. Manual exceptions retain priority. To return to the underlying rule, use “Restore scheduled assignment” instead of adding another manual day off.
Night and 24-hour shifts with a clear end
A 20:00–08:00 shift needs an end on the following day. The shift belongs to its start date, and its continuation appears on the next day. You can set day, night and 24-hour shifts, with a maximum scheduled duration of 24 hours. A selected period’s boundary should not hide work that continues beyond it.
The time zone gives local times their meaning. Clock changes may skip or repeat some local times; check these assignments before exporting or publishing. Totals show planned shifts and hours within the period, not wages, paid breaks, overtime pay or legal compliance.
Leave, replacements and bulk changes
For each employee, replace an individual day with a day shift, night shift, day off or leave. An edit affects that date without moving the following days in the cycle. For longer leave or a series of replacements, select a date range, check the employee and confirm the action.
Undo and redo help correct recent actions safely. Employee filters change only what you see, not the assignments. Overlapping shifts trigger a warning: check the times before sending the roster, especially after manual edits or rule changes.
Drafts, snapshots and published links are different
Drafts and multiple projects are saved in the browser on your current device. Clearing browser data can remove them, so keep a separate project backup. This file is for the organizer: when a schedule is published, it contains its management key and must not be sent to employees.
A snapshot contains only the chosen employees and period, without the management key; later edits will not reach it. A published link stores the selected read-only version on the server. Send updates with “Publish changes”; recipients can check them using the same link. Anyone with the link can see the included data. You can disable it, and it is stored for up to 365 days after its latest update.
Choose the right format for the task
PNG is convenient for messages, PDF for printing, and XLSX or CSV for spreadsheets. ICS transfers assignments to a calendar app: it is an import file, not an automatically updated subscription. Repeated imports may create duplicates depending on the app. Check appearance, dates, employees and whether notes are included before downloading.
With a larger team, the year overview shows summary markers instead of every shift detail. Use a detailed PDF or table for exact times and notes. A project backup and a viewing snapshot serve different purposes: the first lets you continue editing; the second shares a selected version.
